Presets - Updating a Preset

Updating a Preset involves updating the default values that a user will see when first creating a draft from the Preset. The process is similar to editing a regular draft. Each update made to a preset will update its version number.

Some templates may require an approval process to approve any preset updates before they can go live.

Note: A preset must have at least one version created before it can be published to users.

In order to update a Preset, you need to have the relevant permission set. Permission can be granted by either: 

  • Management rights on a specific Preset (for most users)
    Each Preset has an Access control section to assign management rights 
  • Access level (for Super Admins) to create, modify or remove any template presets

Under Admin / Templates / Presets you will see a list of Presets you have access to. Select the Preset you want to update

The Preset view screen will open showing details about the Preset. If you have been set management rights, you will see an Update preset button available

Before updating a preset, check there are no active preset drafts in the  Update history section that could be updated first. 

To continue an existing draft, simply click on the relevant draft to begin editing it. Skip to instruction 5 below.

To create a new preset draft, follow on to point 4 below.

Note: Some preset drafts may display an Out of Date warning badge. A draft is considered out of date if a newer draft has been updated to the new preset version.

To begin updating the Preset, click the Update preset button. This will create a new draft state of the Preset and take you into a Draft editor screen. 

When clicking the Update preset button, Dokio will perform a check to see if there are other open drafts available. If there is, you will presented with an alert asking if you want to continue the latest draft or proceed creating a new one.

Note: A draft update is never live in the Preset. It remains as a draft until it is saved as a new update.

Once in the Draft editor mode, you can make all the necessary field changes to set how you want the Preset to be presented to users when they first create a draft.

Because you are in draft mode you are able to exit the draft editor and return to it at any time. To edit an existing draft, click the draft title under Update history in the Preset view screen.

Note: You can view, access and edit an existing preset draft at any time (even if it was created by someone else) from the Preset view screen in the Update history section. Simply click the link under where it says Draft.

If you are happy with the changes and want to apply them as a new update to the Preset, you can click the Update preset button at the bottom left of the Editor screen to update the preset version.

If the preset requires approval for updates, the button will say Submit for approval instead. Once approved, the preset will be updated to the new version.

Note: If the template is published, the changes will be available to users immediately.
